How does VoIP phone system work?

With a traditional phone system, there is a specific path between yourself and the number that you are calling, provided by the service provider (phone company). This system uses a traditional infrastructure consisting of a network of phone lines that cross the country.  

With a VoIP system, the audio (your voice) is converted into digital packets by ‘codecs’ which are either hardware devices or software processes. The codecs compress the voice signals and encode them as digital signals, allowing them to be transmitted via IP (Internet Protocol). This can be either across a Local Area Network (LAN) or online. They’re often transmitted via the Real-Time Transport Protocol (RTP) or Secure Real-Time Transport Protocol (SRTP), which is simply an encrypted version of RTP.

Data packets reach their destination almost instantly and are decoded and decompressed again by codecs. The recipient of your phone call will hear your voice in the same way as a traditional phone call.

How do I make a VoIP call?

A VoIP service allows you to make and receive calls in much the same way as a traditional phone call. You can either use hardware or a software-based VoIP phone. A hardware VoIP phone is very similar to a traditional handset and used in the same way, with the additional benefits of voicemail, internal calls, call routing or auto attendants and call transferring. Some will also have screens, allowing for video conferencing.

Software-based VoIP phones are often referred to as ‘softphones’ and are apps that are installed on mobile phones or computers. These interfaces replace the traditional phone handset, although the app itself looks very similar to a phone touchscreen or keyboard. Calls through softphones usually require a headset and microphone but can also use the computer’s microphone and speakers.

What are the advantages of a VoIP telephone system?

VoIP is still a relatively new technology, but improvements are ongoing, along with advances in internet connections. The main advantages of a VoIP system are:

Cost Saving – there are several reasons that VoIP systems are cheaper than traditional telephony. Firstly, the infrastructure is much cheaper, meaning that even small businesses can have high quality phone systems. Traditional phone systems require expensive hardware for the initial setup, whereas VoIP phone systems may not need any additional connections or hardware.

Call charges are also generally much cheaper, because by using the internet, geography becomes less of an issue. Long distance and international calls do not suffer from premium prices, and if all your staff are on VoIP, internal call costs are essentially zero.

Lastly, maintenance and repair of VoIP systems cost much less, because there is less hardware to maintain, and the infrastructure is more modern and reliable.

Accessibility – VoIP systems are much more flexible and easier to port, meaning that businesses can be more accessible and agile, especially if they have a cloud phone system. VoIP systems allow you to make and receive calls from anywhere, providing you have the required app or software and an internet connection.

This agility is perfect for the modern mobile workforce and makes remote working far simpler. It can also be useful to businesses with multiple locations and will streamline both internal and external communications.

Scalability – It is much easier to scale up a VoIP phone system than a traditional one. Traditional telephony upgrades are a major task and can require new hardware and phone lines, all at an additional cost. A VoIP system can be expanded much more easily, and you can even implement a BYOD (bring your own device) policy that will use employees’ personal smartphones or laptops. It is also much easier to add further features or services such as a virtual receptionist or automated call handling.
